Selection Criteria for Board Meeting Software

Wondering how I selected the best online meeting management software for this list? Here’s a summary of the evaluation and selection criteria I used:

Document Management

Does the electronic board meeting software have robust features for document management? Does it let you add and edit documents within the board meeting app, track document uploads, and add annotations?

Agenda Building

Does the online board meeting software let you create an agenda for the meetings? Does it let you edit and collaborate on the agendas? Agenda building is a key feature in making your meetings productive and useful.

Does the digital board meeting software let you sign documents electronically? For a remote team, approving documents physically can be a problem. E-signing documents solve that problem and legitimize documents for further actions.

Role-Based Permissions

Does the online board meeting software have approval-based access management? Boards have multiple team members working at various levels of hierarchy. A key factor while selecting board meeting software is to go for tools that have role-based permission features to keep communication streamlined for the various stakeholders.

Does the board meeting software allow features like voting/polling to get board consensus on governance policies, hiring team members, and other board-related tasks? Online voting/polling features let you take every member’s opinion into consideration and jointly come to a decision.

Other Key Features

In addition to the core functionalities above, here are some additional capabilities that I always dig into no matter which type of software I'm reviewing. To assess their strength, I asked myself the following key questions:

  • User Interface (UI): Is it clean and attractive? Is it free of confusing options that can slow down a business owner when starting and hosting a meeting?
  • Usability: How user-friendly is the tool? Is it easy to learn and master? Does the company offer good tech support, user support, tutorials, and workflow training?
  • Software Integrations: Is it easy to connect with other tools? Any pre-built integrations? Does it work out of the box with top calendar applications to help streamline the scheduling of board meetings? How does it work with document storage/file storage apps to quickly share documents on the go? Does it work with team collaboration tools to facilitate faster communication?
  • Value for Price: How appropriate is the price for the features, capabilities, and use case? Is pricing clear, transparent, and flexible? Do the features justify the cost?
