Selection Criteria for HR Compliance Software

Here’s a short summary of the main selection and evaluation criteria I used to develop my list of the best HR compliance software for this article:

Core Functionalities

Every tool I included on my list helps your organization be compliant with local, state, and federal laws and regulations, whether that’s in the USA or another country. Here are some of the core functionalities I looked for to create my initial list:

  • Policy Management: The solution helps you create and share your organization’s rules and procedures, ensuring that your staff is informed of your view on various issues.
  • Monitoring compliance regulations: The platform tracks federal, state, and local legislation changes to help you avoid penalties or fines.

Key Features

While HR compliance software offers a variety of features, I consider the following features essential:

  • Real-time notifications: Legislative changes shouldn’t take you by surprise. The app should notify you of upcoming changes so you can take action in good time.
  • Automated document tracking: Manually tracking your compliance documents can be tedious and time-consuming. Automating this process saves you time and minimizes the risks your organization is exposed to.
  • Document management: Having an organized document database helps you find important materials, such as employee handbooks or compliance policies with ease, but also ensures an audit trail.

Usability

Compliance management is tricky, but the platform you use to ensure it shouldn’t be. I selected tools that offer clean user interfaces so you and your team can learn the ropes without difficulty.

Customizable Documents

The days of every company having similar legal documents are long gone. I picked solutions that offer a library of customizable documents you can use to cover all your compliance needs.

Software Integrations

Compliance solutions can’t work in a vacuum. The platforms I selected integrate with popular HR and payroll management tools so you can feed them your employee and financial data.

Pricing

Compliance management tools come at various prices. However, I selected solutions that offer a good return on your investment.

Final Thoughts

Ethics and compliance software can help you minimize the risk of being penalized or fined, but it also serves another purpose - it can help your organization’s brand image and increase its value. As Arpinder Singh, EY Global Markets and India Leader, Forensic & Integrity Services, said

Organizations should implement strong corporate governance throughout and consider integrity as more than a compliance box-ticking or risk management exercise. C-suite executives need to implement strong corporate governance throughout the organization that fosters real protection against regulatory enforcement actions, its assets and its reputation, all of which can drive long-term, sustainable value.
